Exhibitor Information
EXHIBIT PERSONNEL
The posted exhibit fee includes representation at the booth by two (2) individuals per exhibit space. An additional fee of $250 is charged for each additional person staffing a booth, up to four (4) additional staff per booth. We recommend institutions send at least two representatives per booth. This will permit breaks, but ensure that the booth is attended throughout the conference. No refunds will be given for unaccounted booth representatives.
Exhibitor registration is only for recruitment activities. Exhibitors who want to participate in other conference activities must also register as conference attendees, paying a separate attendee fee or purchasing a ticket in advance to a specific event (President’s Luncheon, Premed Luncheon, and Board of Directors Banquet).
Exhibitor name badges will only be presented on the morning of setup (Thursday for Professional Exhibitors and Friday for Premedical Forum Exhibitors).
BOOTH PROVISIONS
Professional Exhibit Hall
The Exhibits will consist of booth spaces that are 10’ x 10’ (or approximately 100 square feet) and consist of an exhibition pipe-and-drape.
- Exhibit Pennisulas will be comprised of four booth spaces placed together.
- Exhibit Doubles will be comprised of two booth spaces placed together.
- Combo Exhibits will comprise one booth space in the Professional Exhibit Hall and one tabletop in the Premedical Recruitment Fair.
Premedical Recruitment Fair Hall
The Exhibits will be comprised of a tabletop, 6' in size.
- Combo Exhibits will comprise one booth space in the Professional Exhibit Hall and one table top in the Premedical Recruitment Fair.
OFFICIAL DECORATOR SERVICES
SNMA has contracted with Fern Decorating. Fern will set up the booths with display tables and assist the exhibiting companies/organizations with their shipping and other exhibitor services.
SNMA provides only the following furnishings: one 6’ skirted table, two folding chairs, one wastebasket, and one 7” x 44” booth ID sign.
Other services such as on-site handling, rental of additional furnishings, audiovisual equipment, and other display items must be procured through the Fern. Contact information and the decorator service kit will be provided to the primary contact for all registered exhibitors.
Exhibitor Policies, Terms & Conditions
CANCELLATION POLICY
All cancellation requests must be made in writing to SNMA by February 16th, 2025, and shall become effective upon receipt by SNMA.
If SNMA receives written notice of cancellation on or before February 16th, 2025, SNMA will retain or shall be owed a cancellation fee of $200.
If a written cancellation notice is received after February 16, 2025, SNMA will retain or be owed a cancellation fee equal to 100% of the total exhibit fee.
ADVERTISING POLICIES
By purchasing an advertisement, you are agreeing to the SNMA Advertising Policies.
No refunds will be provided for the advertising that is ordered.
If the advertiser fails to send the advertisement by the January 18, 2025 deadline. SNMA reserves the right to compose a simple ad of the reserved size, and the advertiser will be billed separately for this service. The ad will be composed of the organization's name and website to fulfill the advertisement order.
